We met at O’Charley’s in Hixson, Tennessee, and a pre-dinner meeting was held to discuss the pros and cons of incorporating the club, implementing club dues and purchasing liability insurance. Mike Kern had invited a man he knew from another car club, (Bill), to the meeting. Bill is President of a car group and has first-hand experience in incorporating, implementing dues and purchasing liability insurance for the group.
Several members were in attendance of the pre-dinner meeting and, after listening to Bill describe his experiences, a discussion was had.
After dinner, Austin Wilkerson, President, opened up the meeting asking for discussion and any questions regarding incorporating, implementing dues and purchasing liability insurance to the group at large. A fee of $25 was suggested as a charge for annual dues.
Jerry Payne made a motion that no dues be implemented and stated his reason was that when other clubs he had belonged to charged dues, the membership declined. He recommended that a “hat” be passed around the room at each meeting and that members could make donations as a way of raising money for the club to use.
Marilyn Southerland questioned how the monies would be used. Eric Smith stated that the Mountain Miatas of East Tennessee Club was a 501(c) 3 club and donated a portion of their dues to various charities.
After a lengthy discussion by several members, the vote was in favor of not implementing dues at this time.
A sign in sheet was suggested for each meeting and a member information sheet be provided at each meeting for any new members attending.
Austin asked how the group would like to see any monies collected to be used and the following were suggested:
- Name tags
- Magnets with logo for the side of the car
- Shirts with logo
- Hats with logo
- Window decals with logo
Bill suggested the club create a banner or flag to be set out in front of the cars whenever we gathered together in order to make the club more visible.
No further discussion was had on incorporating or the purchase of liability insurance.
Austin announced the next meeting would be March 17 (St. Patrick’s Day) at O’Charleys and asked that everyone wear green. A pre-dinner meeting will be held starting at 6:00 p.m. to discuss upcoming events and rides.
Mike Kern announced the Coker Cruise is scheduled for March 28, 2020.
The meeting was adjourned.
